Geofencing for Fleet Vehicles: Practical Uses for Depots and Customer Sites

Practical geofencing uses for UK depots and customer sites — how FleetPro geofence management helps operations, without claiming finished automatic enter/exit notification delivery.

This is general guidance for UK transport managers and operators. It does not replace official DVSA or Traffic Commissioner guidance, your operator licence conditions, or legal advice.

Depots, customer yards and insecure overnight parks are where geofences earn their keep. This guide covers practical setups for UK fleets, naming conventions, and honest product boundaries so transport managers do not plan a process around notifications that are not finished.

What a geofence is (and is not)

A geofence is a map shape — often a circle or polygon — that marks a place you care about. The tracking platform compares vehicle positions to that shape. It is not a physical barrier, not proof of delivery on its own, and not a substitute for site induction or security procedures.

  • Depot in/out visibility for utilisation and yard control
  • Customer site presence for ETA and dispute context
  • No-go or sensitive areas you want supervisors to notice
  • Overnight park locations for high-value vehicles

Practical uses at the depot

UseWhy it helpsWatch-out

Customer sites and delivery context

A site fence can show whether a vehicle was in the area at the claimed time. That supports operations and disputes — it does not automatically create a signed POD. Keep customer privacy and staff monitoring rules in mind when fences reveal residential or sensitive locations.

Geofencing also does not discharge drivers’ hours or download duties. Those remain operator responsibilities under GOV.UK guidance.

What FleetPro provides today

FleetPro Tracking supports geofence management in the tracking console: create and view fences, and use them with the live map. Published Essential plan copy includes basic geofence alerts. Notification preferences exist in product surfaces — however, automatic enter/exit notification delivery should not be described as a finished, always-on guarantee. Plan processes around what supervisors can see on the map and review, and treat push/email delivery as evolving.

Setup checklist for a useful fence library

Geofence hygiene

  • Create fences only for places someone will act on
  • Size the fence large enough to absorb GPS jitter at the gate
  • Review fence list quarterly — delete abandoned customer sites
  • Limit who can edit fences to trained supervisors
  • Do not promise staff or customers automatic enter/exit emails as a finished SLA
  • Pair overnight fences with physical security and parking policy

Limits and honest expectations

  • Urban canyons and indoor yards can delay or skip position updates
  • A fence event is not proof of what was loaded or who was driving
  • Too many fences create noise — people stop looking
  • Remote tachograph download and analysis are separate products/paths

If you need remote tachograph file collection when available, that is an FMC650 + HGV + Tacho enquiry path on remote tachograph download, not a geofence feature.

Naming, ownership and weekly review

Geofences rot when nobody owns them. Assign a supervisor who reviews the library weekly: delete dead customer sites, resize jittery depot gates, and check that overnight parks still match where vehicles actually sleep.

  • Prefix names by type: DEPOT-, CUST-, PARK-, EXCL-
  • Store the customer account code in the fence name when useful
  • Record who may create fences in your ops note
  • Review false positives at the gate before blaming drivers

Questions operators ask

Do geofences send automatic enter/exit notifications?

Is Essential enough for geofences?

Essential includes live map, trips and basic geofence alerts in published plan copy. Confirm the features you need against the current Tracking offer on fleet GPS tracking.

Can geofences replace compliance software?

No. See compliance modules on pricing.
